Materials

A central library of resources you share with prospects and customers — brochures, price lists, before/after galleries, intro videos, links to your booking page, and anything else you'd hand to a lead. Materials are managed from CRM > Materials and can be assigned to services, sent by Syntra in chat or email, and tracked when they're opened.

What Materials Are

Each material is a single resource entry with:

Materials live once in your library and can be re-used across services, automations, and Syntra conversations.


Material Types

PDFs and images can be uploaded directly. Links and videos are URL-only.


Adding a Material

From CRM > Materials, click New material.

  1. Enter a Name (internal) and a Label (the button text recipients see)
  2. Pick the Type (PDF, Image, Link, or Video)
  3. Upload a file (for PDF and Image) or paste a URL (for Link and Video)
  4. Add an optional Description for your team
  5. Save

The material is immediately available across the platform — for service assignment, automations, Syntra responses, and direct sending.


Assigning to Services

Materials can be tied to specific services, so they auto-appear in the right context. Open any service from Services, find the Inspection / Materials section, and pick which materials apply.

Once assigned, the material is offered:

  • In the chat widget when a customer asks about that service (Syntra surfaces the relevant material with a link)
  • In automated emails for that service — confirmation, follow-up, after-care
  • In quote emails when the service is on the quote

Inspection settings

For services that need a consultation, inspection, site visit, assessment, discovery call, or initial meeting before booking, the materials block also configures how Syntra handles inquiries:

This is how a roofing company can have Syntra say "I'll send our inspection brochure" when someone asks about pricing, or how a clinic can have Syntra send a consultation guide before a treatment booking.


Sending to Leads

When Syntra emails or chats with a lead, materials show up as buttons in the message rather than inline links. Each button:

  • Has the material's Label as the visible button text
  • Renders as a styled call-to-action — perfect for "Download Brochure" or "View Portfolio"
  • Carries a tracking token so you can see when it's opened

Syntra will pick materials automatically when the conversation matches a service's trigger keywords, or you can ask Syntra explicitly ("send the consultation brochure").

You can also send materials manually from a lead's profile in CRM > Leads — pick the material, optionally customise the email body, and send.


Click Tracking

Every material button in an outbound email is wrapped in a tracking link. When a recipient clicks:

  • A click event is recorded against the lead
  • The lead's profile shows whether materials have been sent and viewed
  • Engagement signals feed into lead temperature scoring and the lead pipeline

This tells you which prospects engaged with what, so you can prioritise warm leads who actually opened your brochure over cold ones who didn't.


Managing the Library

From the materials list you can:

  • Search by name or label
  • Filter by type or active state
  • Edit a material — name, label, description, URL, type
  • Toggle Active off to retire a material without breaking anything that already references it
  • Delete a material entirely (only allowed when it's not assigned to any active service)

The Usage count column shows how many services reference each material — useful when retiring or replacing one.
