Customer Database

Your customer database keeps all your contact information in one place — details, booking history, form responses, activity, tags, and notes. Contacts are added automatically when customers book through your booking page.

Your Customer List

Access your contacts by clicking Contacts in the left sidebar. The list displays a table with the following columns:

Finding contacts:

Use the search box to filter by name, email, or phone number. You can also filter by tag using the tag dropdown to show only contacts with a specific tag applied.

The list is paginated with 10 contacts per page.


Adding Customers

Contacts are usually created automatically when a customer completes a booking. You can also add them manually.

To add a contact manually:

  1. Go to Contacts
  2. Click New Contact
  3. Fill in their details:

Customer Profiles

Click on any contact to see their full profile. The profile is organised into six tabs:

Profile Tab

The main contact information view showing all their details — name, email, phone, date of birth, address, notes, primary agent, and communication preferences. Click Edit to update any field.

Form Data Tab

Shows responses to any booking forms or intake forms this customer has completed. Each submission includes the form name, date, and their answers. You can export form submissions if needed.

Bookings Tab

A list of all bookings associated with this contact — past, upcoming, and cancelled. Each entry shows the service, date, status, and amount.

Activity Tab

A chronological timeline of all interactions with this contact:

  • Bookings created, completed, cancelled
  • Form submissions
  • Communications sent
  • Tag changes
  • Notes added

Tags Tab

View and manage tags applied to this contact. Tags help you segment and organise your customer base. You can add or remove tags directly from this tab.

Notes Tab

Private notes about the customer, visible only to you and your team. Add notes for preferences, special requirements, or anything useful for future appointments.

Examples of useful notes:

  • "Prefers appointments on Tuesdays"
  • "Allergic to certain essential oils"
  • "Referred by existing customer Sarah"
  • "Prefers the treatment room at the back"

Creating Bookings from Contacts

You can create a booking directly from a contact's profile without needing to enter their details again.

To create a booking from a contact:

  1. Open the contact's profile
  2. Click Create Booking (or use the action from the contacts list)
  3. The booking form opens with the customer pre-filled
  4. Select the service, date, and time as normal
  5. Complete the booking

This is useful for phone enquiries or rebooking returning customers.


Managing Contacts

Editing a Contact

  1. Click on the contact in the list
  2. Click Edit on their profile
  3. Update the fields
  4. Click Save

Communication Preferences

Each contact has an Opted Out toggle. When enabled, the contact won't receive marketing communications (campaigns, promotional emails). Transactional messages like booking confirmations are still sent.

Assigning a Primary Agent

If a customer has a preferred staff member, set their Primary Agent. This is informational — it doesn't automatically assign bookings but helps your team know who the customer prefers.

Deleting a Contact

To delete a contact:

  1. Open the contact
  2. Click Delete
  3. Confirm the deletion
